Key job responsibilities
The Assimilation Coordinator supports the aforementioned programs and processes as part of the GES Launch Assimilation program for new and existing launch buildings across various Amazon entities, ultimately ensuring the proper training of all managers and associates in preparation for a new launch. You will have the opportunity to work with and influence numerous cross-functional stakeholders both inside and outside of GES with a direct impact to our internal customers on the Launch Assimilation Team. The Assimilation Coordinator will need to learn about process quickly and be able to manage small to medium projects end-to-end. This individual should be proactive in addressing issues and be able to identify any gaps in tools and processes and suggest enhancements. In addition, they should be agile to implement any changes to protocol in response to different needs and workflows, and be able to communicate clearly with internal and external stakeholders. This individual will work directly with the Assimilation Program Managers, GES Launch Team, recruiting teams, and multiple levels of leadership in existing sites as well as other teams to ensure that all travelers have the support needed to provide a positive experience while traveling.
A day in the life
• Maintaining the Assimilation Standard Operating Procedures, ensuring all plans and process are up-to-date and communicated as required
• Problem solving unique situations by utilizing various resources including team support, SOP, and leadership guidance
• Identifying and communicating risks as needed
• Collecting and analyzing surveys on Assimilation Team customer service support
• Working cross-functionally with multiple stakeholders
• Pulling and reporting data from numerous databases (using Excel, Access, SQL, Quicksight and/or other data management systems) to perform ad-hoc reporting and analysis as required
• Organizing logistics with stakeholders, travelers, leadership teams from multiple sites, and travel vendors to ensure all travelers are supported for the duration of their assignment
• Frequent communications regarding changes, status, needs of the project via calls and email
• Maintaining accuracy of project information and rosters
• Maintaining different platforms of technology in order to conduct business efficiently. Examples are, but not limited to, the Assimilation Portal, World Wide Testing Portal, Asana, Ingenii, and other Amazon project/development tools
In this role, you will:
• Deliver results at the highest quality for actions related to STA, AT, LS and continuous improvement projects
• Earn Trust with project stakeholders and lead alignment of all stakeholders during the sourcing timeline utilizing frequent communications regarding changes, status, needs of the project via calls and email
• Deep dive errors and issues in order to identify correct root cause and prevent recurrences
• Navigate an ambiguous environment and weigh long and short-term solutions with limited guidance and an understanding of when escalations are required
• Think Big to provide and implement solutions that solve recurring problems at the source
This role requires candidates to work one of the following shifts:
o Sunday – Wednesday or Wednesday – Saturday: 0800 – 1830, or
o Sunday – Wednesday or Wednesday – Saturday: 1100 – 2130 in local time zones
This role may require 10% travel.

About the team
The Assimilation Team’s mission is to commit to operational excellence by planning and executing logistics for new and existing buildings across the Amazon network. We serve as a liaison by providing support to our customers, upholding standards to deliver consistently and effectively, ensuring teams have the resources needed to be successful. The team provides support for Short Term Assignments (STA), Away Team (AT), and Labor Share (LS) programs in order to serve our customers.
BASIC QUALIFICATIONS
- Bachelor’s Degree or 2+ years' Amazon experience
- 1-2 years’ experience with MS Excel, PowerPoint, Word, SharePoint and/or other Amazon technological platforms
- 1-2 years’ experience in a customer service role managing competing priorities, providing solutions and resolving issues timely
PREFERRED QUALIFICATIONS
- Proven ability to work productively and efficiently in an independent setting
- Global perspective and solid understanding of business and customer service objectives
- Excellent attention to detail and work with the highest level of accuracy
- Experience with business writing and constructive communication to peers and senior leadership teams
- Proven ability to clearly communicate with managers and associates at all levels
- Ability to meet or exceed department/team performance goals
