The Fulfillment Technology and Robotics (FTR) team is looking for an exceptionally driven, fast-moving, resourceful, and proactive Executive Assistant to partner with the Lead EA to help support this growing, global organization. The Executive Assistant will act as a seamless extension of the VP office supported and will work closely with other Executive Assistants throughout the organization. You will be located in Westborough, MA.

This Executive Assistant will be responsible for handling confidential information and maintaining professionalism in dealing with senior executives. Role responsibilities include managing multiple complex calendars, planning and organizing events of all sizes, and coordinating domestic and international travel. This candidate will help build a positive team environment and establish working relationships inside and outside of the group.

Key job responsibilities
• Manage complex calendars, prioritize meetings, including organizing sessions with internal & external senior leaders
• Organize, execute, and assist with team activities (staff meeting agendas, global team meetings, off-sites, and team social events).
• Complete expense reports proactively.
• Coordinate both domestic and international travel.
• Track and ensure the completion of key deliverables, and follow up on outstanding items.
• Act as a liaison between the team and key stakeholders.
• Handle confidential materials and information with discretion.
• Develop and maintain new mechanisms to maximize team efficiency.
• Have fun at work and help others do the same.
• High judgment and decision making in an ambiguous environment
• Partner closely and proactively with Finance, HR, Recruiting, and EAs throughout the organization


A day in the life
As an Executive Assistant, you will work in a team environment, build effective working relationships inside and outside of the group, while keeping abreast of general business objectives, policies, standards, services, facilities, procedures and related information in order to maintain a comprehensive awareness of the organization. You will thrive in a fast-paced and growing environment and have exceptional attention to detail.

You will be responsible for a wide range of critical activities including complex calendar management, managing travel and expenses, organizing team activities and events . Other responsibilities include, but are not limited to, space planning, and ad hoc project coordination. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company. Working in a highly ambiguous environment, you will demonstrate initiative, complete tasks and projects quickly, and proactively take action without the total picture. You will learn organizational structures and objectives of the teams you support. The right candidate will have a strong sense of ownership, bias for action, and be able to work accurately when under pressure to meet tight deadlines.

About the team
FTR is made up of six core teams and four support functions. We sit within the WW Amazon Stores division. Our customers include Operations, AWS, and internal FTR teams. We are the team that builds and powers the robots that are building the future of Amazon.

BASIC QUALIFICATIONS

- 5+ years of senior level leadership support, or 3+ years of Amazon experience
- High school or equivalent diploma
- Experience with Microsoft Office products and applications
- Experience with executive level calendar management
- Experience as an Executive Assistant

PREFERRED QUALIFICATIONS

- Experience handling administrative details independently, while exercising good judgment in keeping team members adequately informed
- Experience with domestic or international travel coordination
- Experience working with large global teams
- Experience in a fast-paced, high-tech company
- Experience with work space planning/management
- Experience leading process improvements
